General Terms and Conditions of Sale

Confirmation & Booking
The document containing the quotation drawn up by Royal Mougins Hotel and the General Terms and Conditions of Sale constitutes the contract between the client and the establishment. The booking of an event shall only become final between Royal Mougins Hotel and the client once the client has returned the contract duly dated, initialled and signed and marked “read and approved”. Royal Mougins Hotel reserves the right to cancel the event until the contract and deposit have been returned.

Price conditions
The rates in force on the date of the quotation are firm from the date of payment of the deposit (unless there is a change in the tax system). Our rates are subject to change according to economic conditions and regulatory provisions, in the absence of confirmation by the payment of a deposit. Any change in taxation will be directly reflected in our prices.

Payment
– A deposit of 30% of the provisional estimate is to be paid to guarantee the reservation on signing the estimate.
– The balance must be paid on the day of the event
– In the event of late payment, a penalty of 3 times the legal interest rate will be applied, to which will be added a fixed indemnity for collection costs of €40

All extras (minibar, laundry, Spa treatments, Golf…) or other services requested by the participants in addition to those included in the quote, must be paid for by them on site before their departure. In case of non payment, these services will be invoiced to the client who is responsible for the payment.

Cancellation
Please note that only written requests for cancellation will be accepted by the Royal Mougins Hotel.
– More than 3 months before the event: no cancellation fee, the deposit is returned to the Client
– Between 3 months and 1 month before the date of the event: the cancellation fee is 30% of the quoted services
– Less than one week before the date of the event: the cancellation fee is 100% of the amount of the services quoted
– Free cancellation in the event of a government or FFG ban on the organisation of a sports event due to COVID-19

Invoicing
The price invoiced by Royal Mougins Hôtel to the client is the one agreed upon at the latest 15 days before the date of the event (confirmation of the final number of guests).
The client shall provide the hotel with the billing address and the name of the person in charge of payment.

Accommodation
The client must send us the rooming list and the exact number of participants in writing at least 15 days before the planned date of arrival.

On the day of arrival, the rooms will be available from 15.00 hours. In case of early arrival, your luggage will be kept in the luggage room. On the day of departure we will ask you to vacate your Suites by 12 noon. Late departures are subject to room availability on the day of departure. Any late departure will result in the posted public rate being charged.

The client will be held responsible for any damage caused by him/herself or by the participants or guests of the event and for any disappearance of the hotel’s facilities and equipment. The Client shall ensure that his/her guests/participants comply with all the rules and regulations of the hotel (in particular the ban on smoking in communal areas).

The hotel declines all responsibility for damage of any kind (theft, damage, fire) affecting goods of any kind brought by clients, participants or guests, regardless of where the goods are stored.

Catering
The client must confirm in writing the final number of guests and the menu at least 15 days before the date of the event. This number will be taken as the basis for invoicing. Do not forget to mention
special treatments such as vegetarian, diet and any other requirements.

If the deadline is less than 72 hours, the meals ordered will be invoiced at 100%.

Meeting room
The Client undertakes to indemnify the Hotel for the full amount of any material damage that may be caused by any of its guests or participants. The guest must notify the hotel of any delivery of equipment.

Golf
The handicaps required for access to the course are 28 for Gentlemen and 32 for Ladies.
Tee time reservations are required.

Spa
It is advisable to arrive at the SPA reception 20 minutes in advance. We remind you that punctuality is essential to ensure a friendly atmosphere.
We kindly ask our guests to switch off mobile phones when arriving at the SPA and we advise gentlemen booking a facial to shave.
We advise you to remove all valuables and keep them in a safe place. We regret that we cannot be responsible for any personal items lost during your stay at the SPA.
In the event of a cancellation or postponement of an appointment, we ask you to notify the person in charge of your file or the SPA team at least 24 hours in advance, announcing your company (tel: 04.92.92.49.67).
It is compulsory to wear a swimming costume in the mixed zones.
The minimum age required to enter the SPA is 16 years.

Covering of outdoor areas
Any covering of the outdoor areas in case of bad weather is at the client’s expense.

External caterers
Only caterers approved by the Royal Mougins will be allowed to work in our premises

Event production
Event services and specific installations (decoration, entertainment, technical installations – non-exhaustive list) must be set up by our Event Department. No service provider will be authorised to work at the Royal Mougins except in exceptional cases and with the specific agreement of the Royal Mougins General Management.

Modification
If the client wishes to increase the number of participants in the event or to extend the duration of the event in relation to what was planned when the contract was signed, Royal Mougins Hôtel will do its utmost to satisfy the client but cannot be held responsible if it cannot provide the additional services.

If the client wishes to reduce the number of participants in the event or to shorten the duration of the event compared to what was planned when the contract was signed, he/she must inform Royal Mougins Hôtel at least one month before the date of the event. If this is not the case, the management may be obliged to invoice the services initially planned.

Insurance
The hotel declines all responsibility for damage of any kind, in particular fire and/or theft, that may affect the objects, effects or equipment brought by the client to the event.

The client undertakes to indemnify Royal Mougins Hôtel for the total amount of any material damage that may be caused by him or his guests.

Complaints and disputes
The client must send the hotel any disputes or complaints by registered letter within 8 days of the departure of the participants.
In the event of a dispute, jurisdiction is given to the court in the place where the establishment is located.
